Team Operational Coordinator, Development Dialogue Asia


About the Organization
Development Dialogue Asia (DDA) is a strategic communications initiative that works to preserve tropical forests, to protect the rights of Indigenous communities, and to advance sustainable land use as a climate change solution. Our highly skilled team of professionals are trained experts in the areas of communication strategy, digital and print media, influencers, data science, and campaigns. Team members have backgrounds in journalism, civil society organizations, digital agencies, PR firms, and international and multilateral organizations. Development Dialogue Asia acts as part of an international network of communications professionals and works closely with top digital agencies, mission-driven PR firms, and allied teams in other countries.


We work in partnership with civil society organizations (CSOs), the academia, and cultural and philanthropic organizations in Indonesia to create communication strategies that strengthen initiatives aimed at our key topics mentioned above. Our core capacities include:

  • Research: social listening, audience segmentation, media analysis, narrative mapping, and message testing.
  • Media: media relations advice and amplification of content.
  • Influencers: media training for experts and spokespeople; partnerships with celebrities and digital influencers.
  • Digital communication: strategies for social media, audience orientation and network analysis.
  • Strategic response: crisis management and combating trolling, fake news and disinformation.
  • We do not support candidates or political parties, nor do we engage in elections or political lobbying. 


About the Role of Team Coordinator

The Team Coordinator is a full-time position that will report to the DDA Director and the Global Operations Manager.

 

The Team Coordinator will support the DDA team and Operations Manager with day-to-day functions. The Team Coordinator will also coordinate small payments and therefore, experience with bookkeeping is necessary. We are looking for an individual with 3+ years of experience, who is very organized, detail-oriented, and eager to contribute to the success of our operations.

Key Responsibilities 
Team Coordinator, you will be responsible for:

  • Managing daily administrative operations
  • Problem-solving issues related to the day-to-day operations 
  • Tracking deadlines for grants and contracts and following up with relevant DDA team members as necessary
  • Coordinating small payments, payment schedule and invoice tracking
  • Coordinating budget oversight supervised by the Operations Manager
  • Coordinating and planning domestic and international travel arrangements
  • Organising Google workspace shared files
  • Organising meetings and workshops by looking for the appropriate venue, liaising with the venue, and arranging the logistics related to the event
  • Compiling expense reports for reimbursement and budget reconciliation
  • Bookkeeping (money in-out)


Key Competencies

  • Bookkeeping and budget tracking experience
  • Teamwork, collaboration, integration
  • Excellent written and oral skills in English
  • Experience with international teams would be a plus

Location

Please note that this is a full-time (40h) remote position ideally based in Jabodetabek. A stable, consistent internet connection is required. This team coordinator will join in person meetings multiple times per month in Jakarta.


Start date
As soon as possible after the selection process is finished. Preferably by January 15th.
